Project Management – Lessons from an Awesome Project Manager


If you are planning an event in less than two months, this post will give you some valuable insights on what you need to consider and put in place to have a very successful event.
This post is based on a conversation with a man that planned a very successful guest event for an organization that we both belong to a few months back.  I called him yesterday to pick his brain because I am planning a similar event in late October.
Here are some tips -
1.       Have a great Chief of Staff/Second - This is a person who you can bounce ideas off of and share what is going.  The key is not to have this person 'Yes' but to look for what is missing in the process.  Now, this person should also be multi-dimensional because you do not want to work with somebody who is going to always be a pain and stunting progress.
2.      Have an auxiliary team of people that can be on call to help out - These aren't necessarily people who are on a core team but people who will be able to perform some specific tasks during the process.
3.      Have one person be responsible for food - If you are going to have food, have one person be responsible for the food.  This is an entire project by itself and deserves quite a bit of care.  Have one person focus on the food and make sure you have a strong food team.
4.      Work every day - This is a key component.  You will build momentum as you are planning your event.  You do not know when this momentum is going to come but you need to be able to capitalize on the momentum.  Be prepared to work on some aspect of your event every day.  A better way to put it is that every day you are not working on your event is a day that your event is dying.  It is as simple as that.  Keep the momentum going and keep it moving forward with speed and velocity.
5.      Marketing of the event is key - Get the logistics in order as quickly as you can and spend the rest of your planning time working on marketing the event.  Ultimately, the success of the event will come from having the word spread effectively to as many people as you can.  This should be the focus of most of the people who are planning the event.  Here are some thoughts on how to make this happen -
§   Have a logistics person and a passion person - The logistics person will be the one who talks about the specifics of the event.  The passion person will be the one who can get excited about the event and get others excited about the event as well.
§   Create a consistent message - This is important for those who are not so involved in planning the event.  Create a consistent message so that people can share the event with the people they know in a consistent way.
